This Policy explains how Syntio handles personal information when you visit our marketing website, contact us, request a demonstration or receive marketing communications from us.

It does not cover a Syntio customer platform or user account. We will update this Policy before platform access becomes available.

1.Who is responsible

The responsible party is inLab Company Limited.

Privacy email: welcome@syntio.one

2.Information we collect

Depending on how you use the website, we may collect:

  • Contact and enquiry information, such as your name, work email, telephone number, organisation, job title and the contents of your message.
  • Demo and business-development information, such as your interests, meeting notes and communications with Syntio.
  • Technical and security information, such as IP address, browser and device information, approximate location, referral pages, timestamps, logs and activity needed to operate and protect the website.
  • Cookie and analytics information, but only for the tools actually used on the live website and subject to any choices presented to you.
  • Marketing preferences, including consent records and unsubscribe requests.

3.Where information comes from

We usually receive information directly from you and automatically from your browser or device. We may also receive business contact information from your organisation, an event partner, a referral source or a public professional profile where the law allows.

4.Why we use it

We use personal information to:

  • operate, maintain, secure and improve the website;
  • respond to enquiries and arrange demonstrations or meetings;
  • manage business relationships and prepare for possible contracts;
  • understand website performance, where optional analytics are enabled;
  • send marketing communications where you have consented or the law otherwise permits, and record your preferences; and
  • comply with law, protect rights and prevent fraud or misuse.

5.Lawful grounds

Depending on the activity, we process personal information with your consent, to take steps you request before a possible contract, to comply with a legal obligation, or because the processing is necessary for our or another person’s legitimate interests and does not unjustifiably harm your rights.

6.Who receives information

We may share personal information only as reasonably necessary with:

  • website hosting, security, form, email, CRM, analytics and communications providers;
  • professional advisers and contractors who support Syntio;
  • authorities, courts or other parties where law requires it or where necessary to protect rights and security; and
  • a buyer, investor or successor involved in a genuine corporate transaction, subject to appropriate confidentiality and legal safeguards.

Our service providers may use personal information only for the agreed service or as the law permits.

7.International transfers

Some website or communications providers may store or access personal information outside Cyprus. Where this happens, we use a transfer method and safeguards permitted by applicable law.

8.Retention

We keep personal information only for as long as needed for the purpose collected, including responding to enquiries, maintaining business records, honouring marketing choices, resolving disputes and meeting legal obligations. We then delete, anonymise or securely archive it as appropriate.

9.Cookies and similar technologies

The website may use necessary cookies or similar tools to operate securely and remember essential settings. It may also use optional analytics or embedded services, but only as described in the notice shown to you and, where required, after you have made a choice.

If Cookie Settings is available, you can use it to change optional choices. Blocking necessary tools may prevent parts of the website from working.

10.Marketing communications

We send electronic marketing only where permitted. You can unsubscribe through the link in a message or by contacting us. We will keep the minimum information needed to honour your request.

Where South African law requires consent for unsolicited electronic marketing, we will request it in the required form and will not send further marketing after a refusal or withdrawal, except where a narrow legal exception applies.

11.Security

We use reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access and disclosure. No website or transmission method is completely secure.

12.Your rights

Subject to applicable law, you may ask whether we hold your personal information, request access or correction, ask for deletion where appropriate, object to certain processing, withdraw consent, or complain about our handling of your information.

We may need to verify your identity before acting on a request. Some information may be retained where the law permits or requires it.

13.Children

The website is intended for business audiences and is not directed at children. We do not knowingly collect personal information directly from children through the website.

14.Changes to this Policy

We may update this Policy when the website, our practices or the law changes. The current version will show its last-updated date. We will provide reasonable notice of material changes where appropriate.
